Recommendations for adding images to signature templates

If you are using an Exclaimer ‘on-premises’ product (i.e. Exclaimer Signature Manager Exchange Edition; Exclaimer Signature Manager Outlook Edition; Exclaimer Signature Manager Office 365 Edition, or Mail Disclaimers), you can use embedded and/or web hosted images when creating signature content. The pros, cons and other considerations for both image types is summarized below.

Embedded Images

Pros

• Displayed automatically in Outlook
• Easy to manage

Cons

• Adds to the file size of the message
• iOS devices strip out embedded images when replying to or forwarding messages, and they can be added as attachments

File Format

Recommended formats are:

• JPG
• JPEG
• PNG
• GIF

Size

For optimal mail client support - and to stop signature images appearing larger than expected - an image should be the actual size you want it to be displayed in signatures. For example, if your company logo should be displayed at 200 x 100 pixels in the signature, ensure that the image file you choose is already at 200 x 100 pixels.

For compatibility with mobile devices, we recommend that banner images are no more than 600 pixels in width.

Location

Ideally, images should be stored locally on the machine where the Exclaimer product is installed. For example:

C:\Signature images\CompanyLogo.jpg

If necessary, network drives can be used. In this case, you must specify the full UNC path to the image – for example:

\ServerName\ShareName\ Signature images\CompanyLogo.jpg

Mapped network drives are not supported.

Permissions

If an image is stored locally, ensure that the Network Service account has read permission to its location.

If the image is stored on a network drive, ensure that Everyone has read access to its location.

Web hosted images

Pros

• No considerable increase to the message size
• Will not be stripped out by iOS devices

Cons

By default, Outlook blocks the automatic download of web hosted images, so recipients must click on Outlook’s security banner to display them.

Your chosen location for uploaded images must be publicly accessible.
